How to complete the Relevant Qualifications and Work Experience Form | New Employees | Seneca Polytechnic

Please note that the Relevant Qualifications and Work Experience Form applies to prospective candidates, new hires and salary step recalculation requests effective Winter 2027 or later. 

For employment or recalculation requests effective before Winter 2027, use the Academic Education and Experience Form and follow the instructions provided.

Before completing the Relevant Qualifications and Work Experience Form, review the requirements below and gather all required supporting documentation. Providing complete information helps Human Resources assess qualifications, confirm employment and determine salary step placement.

Providing required documentation

• Academic employees must provide an official transcript for their highest completed academic credential that is relevant to the position and, if applicable, a foreign credential assessment from a recognized credential evaluation service.
• Documentation must also be provided for any professional licence, certification or designation required for the position.
• Digital transcripts are preferred and must be sent directly from the granting post-secondary institution to Human Resources at hr.help@senecapolytechnic.ca.

Submitting credentials obtained outside Canada or the United States

• If your credential was obtained outside Canada or the United States, obtain an assessment by a recognized credential evaluation service to determine the Ontario equivalent.

• Ensure the original assessment report is sent directly from the evaluation service to Human Resources at hr.help@senecapolytechnic.ca.

• Recognized credential evaluation services include International Credential Assessment Service of Canada (ICAS) and World Education Services (WES).

Requesting a transcript as a Seneca graduate

Seneca graduates may submit an unofficial transcript sent directly from the Registrar’s Office to Human Resources.

1. Complete the Transcript Request Form.
2. Under special instructions, indicate that the request is for an unofficial transcript to be sent to Human Resources at hr.help@senecapolytechnic.ca.
3. Submit the form to theservicehub@senecapolytechnic.ca.
4. Disregard the automatic reply advising that payment is required. Seneca provides these documents at no cost.

Completing dates and experience details

• Enter the month (MM) and year (YYYY) for all relevant qualifications and work experience.
• In Section C, include all relevant experience related to the position for which you were hired, including teaching experience and other relevant work experience.

Understanding additional documentation and salary adjustments

• Human Resources may request additional documentation for a previously completed credential to accurately assess faculty salary step placement.
• For non-full-time employees, if all required documentation is not received before the end of the first contract period, any initial salary adjustment may be applied to a subsequent contract and will not be retroactive to periods before the documentation was received.
• Any subsequent recalculation will take effect on the date Human Resources receives all required documentation, with no retroactive payment for earlier periods.

Reviewing and signing the form

• Complete all required sections of the form before signing and submitting it for review.
• Under Participant 2, enter your supervisor's name and Seneca email address. This will route the form to your supervisor for review and signature.
• Once your supervisor has signed the form, it will be automatically routed to Human Resources for review.
• Note: The last three digits of your SIN and the day of your birth (DD) are required to verify your identity and determine whether an account already exists in the system. This helps prevent the creation of duplicate profiles and supports accurate account setup.

What’s next?

Human Resources will review the form and supporting documentation to assess qualifications and salary step placement. Employment cannot be confirmed until all required documentation has been received.
