Former Employee Portal

About

This portal is available to former employees who are no longer active with Seneca. who requires access to their T4, pay stubs, etc.

Access

With this system users can choose to create, and log in using an account local to this application or use their Google account to authenticate.

 Step 1  Navigate to the Former Employee Portal 

 Step 2  Click Sign Up Now

     

 Step 3  Verify Your E-mail Address

  • Enter the personal e-mail address on file with Seneca.
  • Click Send verification code.

       

 Step 4  Check Your E-mail

  • Copy the verification code from the email you receive. The email will have the subject line: “Seneca Former Employees/Students and Graduates Portal Account Email Verification Code” Please allow a few seconds for the email to arrive. 

       

  • Navigate back to the website and paste the code in the box. Click Verify code.

     

  • If the code does not work, click Send new code to try again.

 Step 5  Set Up Your Password

  • Once verified, you will be prompted to choose a password.
  • Your password must be 8-16 characters long and include at least three of the following:
    • Lowercase letters (a-z)
    • Uppercase letters (A-Z)
    • Numbers (0-9)
    • One or more of the following symbols (@#!$%^&*{ } \ : ? ` ~ "( ) ; . )
  • After entering your details in the “New Password” and “Confirm New Password” fields, click the “I’m not a robot” checkbox to complete the CAPTCHA.

Note: If your e-mail is already registered, you will be asked to return to the login page to sign in or reset your password.

 Step 6  Set Up Multi-Factor Authentication (MFA)

  • You will see a QR code to scan for extra security.
  • Use an authentication app like Microsoft Authenticator, Google Authenticator, or any similar app.
  • Open your app and scan the QR code (Make sure to select Work or school account).

       

  • Click Continue
  • Enter the 6-digit code shown within your authenticator app.

    • Click Verify

     Step 7  Verify Your Personal Information

    • Enter your month and day of birth, the last four digits of your SIN, and your former Seneca email address. Complete the "I'm not a robot" CAPTCHA, then click Continue.

            

    • Click Continue.
    IMPORTANT

    If your information validates properly you will be sent to the HR system homepage where you can access previous employment information.

           

    Logging in with a Gmail account

     Step 1  Navigate to the Former Employee Portal 

     Step 2  Click "Sign up with Google"

         

     Step 3  Sign in on the Google authentication page.

    • Enter your Gmail email address and select Next. On the following screen, you will be prompted to enter your Gmail password.

     Step 4  Accept permission for the Former employee portal to access your name and Gmail address

         

     Step 5  Set Up Multi-Factor Authentication (MFA)

    • You will be redirected back to the Former Employee Portal, where you'll scan a QR code with an authenticator app (such as Microsoft Authenticator or Google Authenticator) to generate a 6-digit verification code required for future logins.
    • Open your app and scan the QR code (Make sure to select Work or school account).

    • Click Continue
    • Enter the 6-digit code shown within your authenticator app.

           

     Step 6  Verify Your Personal Information

    • Enter your month and day of birth, the last four digits of your SIN, and your former Seneca email address. Complete the "I'm not a robot" CAPTCHA, then click Continue.

            

      • Click Continue.

    IMPORTANT
    If your information validates properly you will be sent to the HR system homepage where you can access previous employment information.

           

    Resetting password

     Step 1  Navigate to the Former Employee Portal 

     Step 2  Click "Forgot your password?"



           

     Step 3  Verify Your Email Address

    • Enter the email address you used during sign-up, then click Send Verification Code.

           

    • Copy the verification code from the email you receive. Please allow a few seconds for the email to arrive. 

           

    • Navigate back to the website and paste the code in the box. Click Verify code.

         

    • If the code does not work, click Send new code to try again.
    • Once the code is verified, click on the “Continue” button.

           

     Step 4  Enter a Password

    • Enter and confirm your new password.
    • Your password must be 8-16 characters long and include at least three of the following:
      • Lowercase letters (a-z)
      • Uppercase letters (A-Z)
      • Numbers (0-9)
      • One or more of the following symbols (@#!$%^&*{ } \ : ? ` ~ "( ) ; . )
    • After entering your details in the “New Password” and “Confirm New Password” fields, click the “I’m not a robot” checkbox to complete the CAPTCHA.

       

     Step 5  Verify with MFA

    • Enter the code from your authenticator app.
    • Click the Verify button and verify if you lose access to your authenticator code. Contact ITS to have it reset.

    At this point your password has been updated and you will be logged into the system.

           

    Troubleshooting

    Issue: User has lost their authenticator codes or authenticator codes are not functioning.

    Solution: Contact Service Desk with the username and we will put in a request to remove the code allowing the user to register for MFA again.

    Issue: User receives a 404 error after authentication to the system.

    Solution: Clear the browser cache and restart browser or try an incognito/private browser or a different browser.
